Gallery Use - Showcase Terms & Conditions

Artwork Showcases at Elgin Library Gallery

  1. Showcase slots will only be available within specified calendar months (need not be entire month) this may be shorter on occasions due to amount of days in month, public holidays etc.
  2. Set up and dismantle times must be within the specified calendar month booked, and this must be confirmed with library as Gallery usage allows, and agreed at the time of booking the slot.
  3. Meetings or activities will be taking place in the Gallery at any time during the showcase slot.
  4. Exclusive use for exhibitors will not be included in the ‘let’ however, when no activities or meetings are scheduled the showcase of artwork will be open for anyone to view during library opening hours.
  5. Groups and individuals cannot supervise exhibitions however artwork is covered by insurance and security arrangements in place for the library building.
  6. We cannot routinely provide staff assistance for hanging the exhibition.
  7. No panels (moving walls) can be utilised.
  8. There are no storage facilities for art work when the exhibition is not on display.
  9. No hire charge or commission fees will be incurred.
  10. Sales of artwork cannot be taken via the library.
  11. Exhibitors may leave business cards, leaflets or have contact details on display for potential buyers to arrange purchase
  12. Launch events are not arranged as standard but can be booked by separate arrangement and incur hire charges as per normal room booking Terms & Conditions. In this circumstance it is the responsibility of the artist to organise food, drink, crockery, cutlery, glassware etc.
  13. Posters, lists or labels will not be produced by the library but exhibitors can provide their own.
  14. Exhibitors must use ‘White tac’ on the Gallery walls to adhere labels/posters if required and must ensure that this is removed carefully without damaging paintwork.
  15. Comments books will not be provided, however artists and exhibitors are at liberty to provide their own.
  16. The Library Service reserves the right to prohibit any overtly offensive or political items to be included in the Gallery space.
