FOI Request - Inspection and Maintenance of Roads

We are making a request under the above Act for information regarding the inspection and maintenance of roads within your local authority area, with a specific focus on how road defects are identified and managed.
In particular, we require the following information: -
1. Copies of any policy documents, manuals, or guidelines that detail the procedures and standards your local authority follows for the inspection and maintenance of roads. This should include but not be limited to, policies on how often inspections are conducted, the criteria used for identifying and classifying road defects, and the timelines for repairing identified issues.
2. Information, including sight of any written or electronic communication, detailing; the system of inspection used to monitor road conditions, particularly in relation to potholes and road defects. This should include: the frequency of inspections; if different inspection regimes are applied to different types of roads, please provide information on how these are determined; how many inspectors are required to carry out any given inspection; what mode of transport inspectors are required to use for any given inspection; what method the inspectors use for recording the findings of their inspections, and details on whether the findings are hand written or recorded digitally and does this happen during the inspection or upon return from the inspection; and any specific criteria or guidelines that inspectors follow during these assessments.
3. Information, including sight of any written or electronic communication detailing; any technology or equipment used during road inspections to capture or document road defects, including potholes. Specifically, whether your local authority uses camera equipment, road scanning devices, or any other forms of technology to assist in the inspection process. Please include details on the types of technology used, how long they have been in use, and how they contribute to the identification and documentation of road defects.

3. PDA's (Personal Digital Assistant) are Samsung 10 inch tablets and they have been used for the past 18 months. Inspectors load their inspections and follow the routes of the inspection noting any defects found. The inspectors can also raise any adhoc defects they might find in the normal process of their day using the same device. Hand held PDA's used by inspectors for routine inspection purposes and a Go pro for adhoc video surveys.
