Under the Freedom of Information Act, please provide me with an electronic copy of policy, procedures or guidance issued to your IT department/staff or others concerning the :

• Management of IT assets (PC’s, Desktop, Laptops, Tablets, SmartPhone)
• IT Asset disposal process
• Process or Procedure for monitoring and tracking of physical IT asset inventory/stock
• Process for assigning asset numbers (equipment tracking numbers) to IT assets
• Storage of IT assets
     o Storage area
     o Inspection of equipment
     o Procedure for the intake and recording of new equipment
• Policy on the use of personal computers by Council staff
• Procedures for requests for new IT assets
• Procedures for the installation and disposal of IT equipment.
• Procedures for the redistribution/reallocation  of IT Equipment to new staff
• Procedures for returning equipment from staff who have left the Council

1.         Management of IT assets (PC's, Desktop, Laptops, Tablets, SmartPhone) - Under Section 17 of the Freedom of Information (Scotland) Act 2002, this information is not held. 

2.         IT Asset disposal process - please see document located here.

3.         Process or Procedure for monitoring and tracking of physical IT asset inventory/stock - no written procedure - under Section 17 of the Freedom of Information (Scotland) Act 2002, this information is not held.  Assets are monitored and tracked in an open source inventory tool and are also record on an asset spreadsheet.

4.         Process for assigning asset numbers (equipment tracking numbers) to IT assets - Sequentially using Asset labels provided and recorded in asset spreadsheets referred to above

5.         Storage of IT assets - Under Section 17 of the Freedom of Information (Scotland) Act 2002, this information is not held. 

6.         Storage area - Under Section 17 of the Freedom of Information (Scotland) Act 2002, this information is not held. 

7.         Inspection of equipment - Under Section 17 of the Freedom of Information (Scotland) Act 2002, this information is not held. 

8.         Procedure for the intake and recording of new equipment – no written procedure. Under Section 17 of the Freedom of Information (Scotland) Act 2002, this information is not held.   All orders are recorded in a spreadsheet, and details updates on same spreadsheet when equipment is delivered.

10.       Procedures for requests for new IT assets – most new IT assets are provided via central refresh.  Any additional requests are logged via the ICT Servicedesk system.

11.       Procedures for the installation and disposal of IT equipment – handled by the ICT Servicedesk system

12.       Procedures for the redistribution/reallocation of IT Equipment to new staff - New staff are currently receiving new equipment.  Replacements for staff who have left will receive the old users’ equipment wherever possible.

13.       Procedures for returning equipment from staff who have left the Council – not documented by ICT, just part of generic leaving procedures.
