Booking Procedures and Conditions
Registration
Applications for the hire of facilities must be made at the local booking office, preferably with notice 48 hours prior to the hire date.
Booking
Bookings can be made in person, by telephone or in writing. For contact details please click on the relevant link below:
The booking offices are open during normal daily working hours and most evenings during the week.
The caretakers at Lossiemouth and Rothes will be available during normal daily working hours.
Bookings may be made up to one year in advance. Priority will be given to organisations who held the booking in the previous season. The booking will, however, only be held until four weeks before the date of renewal and will thereafter be released to other interested users.
A summary of bookings will be issued to Client Services (Grounds Maintenance) and the caretakers each Wednesday, listing the bookings for the forthcoming seven days. Bookings received after the Wednesday for the same period will be notified as they are received.

Teams who use the facility for training should do so away from the pitch surface. If the training session makes use of the pitch itself, the caretaker is instructed to record a charge category.
Invoices will be rendered on a monthly basis or the fee can be paid directly to the booking office.
Access
Access to the pavilion shall be granted 30 minutes prior to the time of a match, unless otherwise agreed at the time of making the booking. The pavilion should be cleared of all users 30 minutes after the completion of a match, again unless otherwise agreed.
Cancellations
24 hours must be provided in the event of the cancellation of a booking, otherwise the full charge will be levied - the bill for the cancellation will be issued.
In the event that a booking is cancelled on the day of play by a referee, no charge will be made as long as the referee confirms his/her decision that the pitch was unplayable.
In the event that the opposition team does not arrive, the team making the booking shall be charged the full amount.
Car Parking
Please note that there is either no, or very limited parking facilities, at all of the pavilions. Under no circumstances must vehicles be parked on any grassed area within the area of the pavilion or the pitches.
Owners of vehicles that are parked on areas designated as a public park may be liable to prosecution.
General
The conditions of use issued to all users at their first time of booking will be applied on all occasions when the facilities are used.
The hirer shall be responsible for leaving the hired premises in a clean and tidy condition.
Where, as a result of a let, extra cleaning is required, a supplementary charge to cover such extra cleaning will be payable to hirer.
The Council does not accept responsibility in respect of damage to, or loss of, any property, articles or things which were placed in, or left upon, the hired premises by, or by order of, or for the use or purpose of the hirer, or any other persons using the hired premises.
The Moray Council or its agents reserve the right to cancel, or amend any hired period of the facilities without prior notice.
